Spring Symposium 2009

 Instructions for Faculty Moderators and Judges

Thank you for participating in the annual Spring Symposium, which celebrates undergraduate research and creative work at the University of Hawai`i at Mānoa.   Students from the Honors Program, the University Research Council’s Summer Undergraduate Research Awardees, and other student from various programs across campus will be presenting their research or creative work in the form of an oral presentation and/or a poster. 

For oral presentation sessions there is an assigned moderator and judge.  The moderator’s task is to run the session, as detailed below, but we also hope that he/she will assist the judge in evaluating presentations. 

For poster presentations there are four judges for each category.  Moderators and judges are listed with their assignments on an enclosed sheet and in the Program.

All judges and moderators are invited to lunch and we hope that you will be able to stay for the award ceremony to be held at 1.30 pm.

Instructions for moderators

There are twelve paper sessions in total.  There are six parallel paper sessions at 9.00-10.00am and six parallel paper sessions at 11.00am-12.00pm.  Each paper session consists of three or four presentations, with either 15 or 20 minutes total time for the talk and any questions and answers.  Papers have been assigned to sessions according to category.  There are prizes for best presentation and runner up in each category.

Please adhere to the following guidelines:

1) Please stick to the scheduled times for speakers. Please let presenters know that they have an allotted time of fifteen or twenty minutes for their presentations and that they will be asked to stop when the time is up.  Please strictly enforce this limit so that each paper starts on the quarter hour or every 20 minutes exactly so that the audience can move between sessions to hear particular presentations. 

You may want to give presenters warnings as they near the end of their time (e.g. two minute warning).  There are cards in your packets for this purpose. 

2) Please start each presentation at the assigned time.  If a presenter is not present please take a break and begin at the scheduled time with the next presentation.

3) Please briefly introduce each speaker. Please use the information in the program: name, major(s), project stage, mentor and title of the presentation. This information is provided on the enclosed sheet of paper.

4) Please consider yourself as a judge as well as moderator. Try as best you can to make notes on the student’s performance.  You will have a partner who will be the “chief” judge, but we hope that you will work as a team.  You may share roles if you wish.  Please consult at the end of the session and between lunch, in order to be able to provide a First Place and Honorable Mention in your category.    

 Instructions for judges

 There are prizes for best presentation and runner up in each session category.

 1) Please fill out the score-sheets and make remarks. Students will be given copies of the score-sheets to help them identify strengths and weaknesses and to improve their presentation skills.  Please return the completed score-sheets to the Greeting Desk at the entrance of Keoni Auditorium. 

2) Please determine a first place winner and runner up. Please consult with your moderator to obtain a second opinion on each student and if possible reach a mutually agreeable decision on the two winners.

3) Please return completed forms and final assessment to the Greetings Desk.  This task needs to be completed by 1.00pm to allow time to prepare the announcements which will be made during lunch.

 

2. Instructions for Judges in the Poster Presentation Sessions

The poster session is from 10.00 am to 11.00 am in the Keoni Auditorium.   Students have been told they must attend the poster session so that they will be available to answer any questions and to interact with the audience and judges.

Posters are grouped into four categories: Social Sciences; Natural Sciences, Engineering and Health Sciences; Arts, Humanities and Literature; and Other.  Each judge is assigned to one category.  There are prizes for best poster and runner up in each category, as determined by the category judge, and there will be an Overall First Prize for the best poster as determined by the four judges in consultation. 

1) Please be available to begin judging at 10.00 am. 

2) Please select one winner and one second place for each group. 

3) Please complete your evaluation based on both the poster and     responses to questions.  If one hour is not enough, you may take more time, but student presenters may have to leave in order to make scheduled oral presentations, so please ensure that you have a chance to ask them questions before 11.00 am. 

4) Please fill out the score-sheets and make remarks. Students will be given copies of the score-sheets to help them identify strengths and weaknesses and to improve their presentation skills.  Please return the completed score-sheets to the Greeting Desk at the entrance of Keoni Auditorium.

5) Please meet to discuss the award of the First Prize Overall.  The winning poster in each group will be considered for the First Prize Overall.   Judges may meet at 12.00-12.30pm in the break out rooms.
